TeamSTEPPS® toolkit:
Task Assistance

Tutor notes

Estimated module duration: 15 minutes

Healthcare professionals operate under immense pressure, juggling multiple responsibilities while managing critical patient needs. Systemic challenges like burnout, staff shortages and hierarchical communication barriers can create invisible walls that prevent teams from functioning at their best.

The TeamSTEPPSⓇ Task Assistance technique deconstructs these walls, creating a culture where offering and requesting assistance are a demonstration of professional strength and commitment to patient care.

This module gives nurses and healthcare professionals the tools they need to foster a positive, collaborative culture rooted in situational awareness and nuanced communication. It isn't solely about spotting when someone needs help, but rather understanding the subtle dynamics of team performance and communication styles to prevent any unspoken pressures, which can compromise patient safety.

Key learner outcome and goals

Learning outcome

Become a team member who understands and practices the principles of affirming Task Assistance.

Learning goals

  • Recognize supportive and unsupportive teamwork behaviors according to Task Assistance
  • Demonstrate the ability to use supportive Task Assistance behaviors in clinical practice

A word about terminology

As a medium, Virtual Reality is not best suited to didactic teaching methods.

However, our intention is that all Bodyswaps modules follow a student-centered constructivist pedagogy. This means creating rich experiences in which learners can explore key concepts and ideas and reach their own conclusions.

This is why our documents speak in terms of learning goals and outcomes, rather than measurable ‘learning objectives’ (a la Bloom’s Taxonomy) per se.

What is TeamSTEPPS®?

TeamSTEPPSⓇ – Team Strategies and Tools to Enhance Performance and Patient Safety 3.0 – is an industry-recognised, evidence-based collection of teamwork tools and techniques. It’s designed to optimize collaboration between healthcare staff and improve the delivery of care.

This module gives learners a safe space to learn and practice a key Mutual Support skill from the TeamSTEPPSⓇ framework: Task Assistance.

We worked with subject matter expert Sam Smith – Certified Registered Nurse Anaesthetist and TeamSTEPPSⓇ master trainer (completed training 3.0) – to ensure the medical scenarios and application of the technique in this module are realistic and engaging.

TeamSTEPPS® Simulator

Our TeamSTEPPS® Simulator module provides an opportunity for learners to practice five key tools (SBAR, Check-Back, CUS, Task Assistance, and Call-Out) in a series of interactive, true-to-life freeform activities. It’s a virtual roleplaying space where nurses can gain essential experience and build confidence in using the tools.

But nurses have varying levels of preparedness in these tools, and may not be ready to put their skills to the test.

For that reason, we’ve designed a collection of short modules – our TeamSTEPPS® Toolkit – which act as a companion to the Simulator. The modules in the Toolkit allow nurses to explore the theory behind these five techniques, providing scaffolded learning and practice before or after they enter the TeamSTEPPS® Simulator. This module takes a closer look at Task Assistance.

Aside from a playground in which nurses can hone their skills, the TeamSTEPPS® Simulator can also be used as a competency test for assessing performance before and after enrollment in the TeamSTEPPS® Toolkit modules. All learners who play the Simulator receive an LLM-powered personalized report of their overall use of the tools, helping you understand where they excel and where they may need further training and practice.

Module structure

The complete journey takes the learner through two interactive topics, as well as ancillary activities such as introduction, self-reflection, debrief and the exit survey.

It is a linear experience, meaning the learner will be guided step by step through all the activities by the virtual coaches.

We recommend that learners fully interact with each activity to get the full benefit.

It is estimated that each topic will take the learner approximately 5 minutes to complete, although completion times vary depending on whether the learner chooses to fine-tune their freeform responses.

The first time learners use Bodyswaps, an onboarding sequence familiarizes them with the features of the app, takes them through an avatar selection and embodiment activity, and prepares them for the experience to come.

In the onboarding, learners will:

  • Find out how this training is different from the rest
  • Select their avatar
  • Discover their virtual journal
  • Learn how to navigate and use the tools and settings

In the hospital tutor room the learner meets their virtual coaches, Nurse Sam and Nurse Carlos. They introduce the Task Assistance tool, explaining its purpose in enhancing communication and collaboration to ensure positive patient outcomes. They also highlight that even when help is offered with the best of intentions, the way it’s offered – and received – can significantly impact team dynamics.

Following the introduction, the learner is prompted to complete an initial self-reflection survey and rate their confidence regarding two skills:

  • recognizing supportive and unsupportive teamwork behaviors according to Task Assistance
  • applying the supportive behaviors of Task Assistance

These self-reflection questions are repeated in the debrief at the end, to assess how the learner’s confidence levels have changed.

The principles of Task Assistance

After a quick briefing from the coaches, the learner arrives at the central nursing station. Here, they observe a scenario where Nurse Kayla encounters difficulty with the electronic patient records system and requires assistance from her colleagues – Nurse Zac and Nurse Peter.

The learner’s task is to identify the characters’ behaviors as either supportive or unsupportive in the context of Task Assistance. Their challenge is to spot three examples of good team support and three examples of poor team support by clicking their mouse or controller, as the scenario unfolds. They need to stay alert, as there are only 8 clicks available. During the observation, learners also get to hear Kayla's internal thoughts, each time she reacts to her colleagues’ behaviors, providing a deeper understanding of the impact of those on her emotions.

At the end of the scenario, an analytics panel will highlight all of the instances of good and poor Task Assistance behaviors displayed in the scene, showing whether the learner correctly identified them. Selecting each behavior allows the learner to replay that part of the scene and view further information about it, before progressing to the next activity.

Topic 2: Demonstrate the principles of Task Assistance

Purpose

Back in the hospital tutor room, it’s now time for the learner to think about their own teamwork skills. The coaches test those by providing them with five short scenarios, describing some common teamwork challenges.

For each of these scenarios, the learners will see three possible ways they could respond. The options are designed so that:

  • one is a supportive, helpful choice which fosters good collaboration
  • one is a more neutral response
  • one is an unsupportive choice that could cause issues within the team

As the learner makes their choice for each scenario, a gauge on the screen behind the coaches shifts in response. If they pick the most appropriate option, the gauge’s needle will move to the left (towards the green, 'Supportive' end). If they pick the unsupportive option, it'll move to the right (towards the red, 'Unsupportive' end). Neutral choices will move the needle towards the center of the gauge.

Once they've gone through all five scenarios, Nurse Sam and Nurse Carlos give the learner feedback based on the final result of the gauge. If its needle is more in the middle or towards the red (meaning they picked more neutral or unsupportive options), Sam and Carlos will encourage them to try the activity again.

Nurse Sam and Nurse Carlos congratulate the learner for finishing all the activities. They offer some closing thoughts on the importance of Task Assistance in building trust, boosting team morale, and ensuring everyone can perform their roles effectively. This aims to reinforce the key learnings from the module. The learners are then asked to complete the same short survey as they did at the start to see if their confidence levels have changed.

Before the learner leaves the module, they are asked to complete a short survey about their experience.

This survey is not compulsory, but the data helps us to assess the effectiveness of our product and identify any areas that need improvement. Clients also find it beneficial when assessing ROI.

They are asked to mark whether they agree or disagree with the following statements, on a 10 point scale:

  • I would recommend this experience to others.
  • The experience helped me understand what Task Assistance is and how its principles can be used within a team setting.
  • I now have a stronger understanding of how to apply Task Assistance behaviors to support team dynamics and improve collaboration.
