Group Workshops: Setting Up for Success
A facilitator’s pre-session checklist and room setup guide for running AI Roleplay with a group of learners in VR at the same time.
Before the session: Device checklist
- Have the headsets been charged?
- Have the headsets been sanitised?
- Is the Bodyswaps app up to date on each device?
Equipment checklist
- Wipes (for sanitising headsets between learners)
- Spare batteries (for the controllers)
Setting up the room: Space checklist
- Have you promoted privacy and confidence by spacing learners around the room?
- Have you considered using headphones to promote privacy and focus?
- Have you provided seating and set up stationary (seated) boundaries for each learner?
⚠️ Remember: Remove obstacles (such as desks) to ensure hand movement is unrestricted.
If space is limited
- Consider physical space separators between learners if needed, for increased focus.
- Recommended: Prepare alternative 2D (non-VR) devices as a backup, for learners who experience motion sickness or prefer not to use a headset.
Monitoring the group during the session
Recommended: Give the facilitator access to Bodyswaps Go during the session. This lets you see each learner’s status across the whole group in real time, even while everyone is in VR.
